5 Things You MUST Do Before You Look for a US Visa Appointment

So, you’re ready to start the us visa appointment booking process. You’ve heard the horror stories about the long waits and you’re eager to find a slot.

Stop.

Before you even think about logging in to the booking portal, you must be 100% prepared. Why? Because the perfect, early appointment slot can appear and disappear in less than 60 seconds. The last thing you want is to find a slot, only to realize you’re missing a crucial document or number.

Think of it like a race: you can’t start fumbling for your car keys after the starting gun fires.

Here is your 5-step checklist to complete before you start hunting for a date.

1. Complete Your DS-160 Form

This is the non-negotiable first step. The DS-160, or Online Nonimmigrant Visa Application, is the foundation of your entire process.

  • What it is: A long, detailed online form about your travel, work, security, and personal history.
  • Why you need it first: You cannot book a visa appointment without the 10-digit barcode number from your DS-160 confirmation page.
  • Pro-Tip: Fill it out accurately and save your application ID regularly. Once you submit it, print and save the confirmation page. That barcode number is your golden ticket.

2. Pay the MRV Fee

You can’t book an appointment without proving you’ve paid.

  • What it is: The “Machine Readable Visa” fee is the standard, non-refundable application fee.
  • Why you need it first: The booking portal will require you to enter your MRV fee payment receipt number to unlock the scheduling calendar.
  • Pro-Tip: Pay the fee through the official portal and keep the receipt number handy. This receipt is usually valid for one year.

3. Check Your Passport Validity

This seems obvious, but it trips up so many people.

  • What to check: Your passport must be valid for at least six months beyond your intended period of stay in the United States.
  • Why you need it first: If you book an appointment and then realize your passport is expiring, you may have to cancel everything. Check it now. If it’s expiring soon, get it renewed before you pay the MRV fee.

4. Get Your Visa Photo Ready

Don’t wait until the last minute for this.

  • What it is: A digital photo taken within the last six months that meets the strict U.S. Department of State photo requirements.
  • Why you need it first: You will need to upload this digital photo as part of your DS-160 application. Having a photo that gets rejected can delay your whole process.

5. Know Your Consulate & Eligibility

Are you eligible to apply from Canada?

  • What it is: Most people applying from Canada are Canadian residents (students, workers, permanent residents). If you are a “Third Country National” (TCN)—for example, a visitor to Canada—you need to check if the consulate will accept your application.
  • Why you need it first: During the pandemic and backlog, many consulates restricted TCN processing. While this has eased, it’s good to be aware.
  • Pro-Tip: As a Canadian resident, you are eligible. Just decide which consulate you’re willing to travel to (Toronto, Vancouver, Montreal, etc.), as you’ll be monitoring for slots at those specific locations.

You’re Ready for Battle

Okay, now you’re prepared. You have your DS-160 barcode, your MRV fee receipt, a valid passport, and your photo. You are logged in and ready to book.
